  • Payment information: processed through Stripe. FutureFit Collab does not store your full credit card details; Stripe handles all payment data securely.
  • Course enrolment data: including workshop attendance records, quiz scores, assignment submissions, learning progress, and certificates issued.
  • Communication preferences: collected through email subscription forms and account settings.

2.2 Automatically Collected Data

We automatically collect the following through technical processes:

  • Analytics data: collected via Google Analytics using only standard page tracking (no advanced features such as user ID tracking or remarketing audiences).
  • Cookie data: technical cookies to remember your preferences and maintain session security.

2.3 Lawful Basis for Processing

We process your personal data on the following legal grounds:

  • Consent: for email marketing, newsletter subscriptions, and analytics tracking.
  • Contract: to provide courses, workshops, and services you request.
  • Legitimate interest: to improve our services, analyse usage patterns, and prevent fraud.

4. Where Your Data Is Stored

Our primary hosting infrastructure is located in the Netherlands. However, some of our service providers (listed in Section 5) may store or process your data in other jurisdictions. Where data is transferred outside the European Union, we ensure it is safeguarded to the same standards as if it were in Europe through Data Processing Agreements (DPAs) with all vendors.

5.1 Data Processing Agreements

We have executed Data Processing Agreements (DPAs) with all third party service providers listed above. These agreements ensure compliance with GDPR and data protection standards. FutureFit Collab excludes liability for the independent data protection practices of third party providers; however, we conduct due diligence to ensure all vendors meet appropriate security and compliance standards.

6. How Long We Retain Your Data

We retain personal data for as long as necessary to provide our services and comply with legal obligations. Retention periods vary by data type:

7.1 How to Exercise Your Rights

To exercise any of these rights, please contact FutureFit Collab management at info@futurefitcollab.com. We will verify your identity by telephone before processing your request. All data subject requests will be handled within 30 days of receipt in accordance with GDPR requirements.

 

8. Automated Decision Making

FutureFit Collab uses automated workflows and decision-making systems in the following contexts:

  • Mighty Networks automates participant group assignments and engagement tracking based on profile data and behaviour.
  • Learndash automates quiz grading, course progress tracking, and conditional access restrictions based on learning milestones.
  • MailerLite automates email workflows and segmentation based on subscriber behaviour and preferences.

9. Data Security Measures

FutureFit Collab implements the following technical and organisational measures to protect your personal data:

  • Encrypted data transmission: All data transferred between your device and our servers uses SSL/TLS encryption.
  • Secure payment processing: Payment data is processed by Stripe, a PCI DSS Level 1 compliant provider. We do not store full card details.
  • Access controls: Access to personal data is restricted to authorised FutureFit Collab personnel only.
  • Staff training: All staff members handling personal data receive data protection and privacy training.
  • Regular vendor audits: We conduct due diligence on all service providers to ensure they maintain adequate security standards.

 

10. Data Breach Notification

In the event of a confirmed or suspected data breach, FutureFit Collab management will assess whether the breach meets the threshold for mandatory reporting under GDPR and Dutch data protection laws, in consultation with the Autoriteit Bescherming Persoonsgegevens (ABP).

If a reportable breach is confirmed:

  • We will notify you and the relevant authorities within 48 hours of discovery.
  • We will provide details of the breach, affected data, and recommended protective actions.
  • FutureFit Collab management is responsible for coordinating the breach response.
